Guidelines for Reading the New Strategic Plan Format
The SWGMDI plans to produce data reports which do not require public review and comment (“Reports”), other documents which contain recommendations and undergo a public review and comment period (“PRC Documents”), and other products such as proposals to hold special conferences or to do other projects.
The PRC process has a somewhat predictable sequence of events. Pay particular attention to the name applied to each date because these names are used in the Table below.
Committee Draft Date (CDDate): The date on which a committee is scheduled to complete and approve a draft document for full SWGMDI Board review.
To Board Date 1 (TBDate1): The date on which a draft is sent to the SWGMDI Secretary and then made available to all SWGMDI Board Members for review. This must be at least 30 days prior to the next scheduled SWGMDI Board Meeting.
Board Review Date (BRDate): The date on which the full SWGMDI Board is to discuss (and modify, if needed) a draft document.
PRC Start Date (PRCStart) : The date on which a PRC document is to be posted for public review and comment.
PRC End Date (PRCEnd): The date on which pubic review and comment ends. Typically, the PRC period is 60 days.
Committee Review Date (CRDate): The date on which all post-comment revisions on a PRC document are due.
To Board Date 2 (TBDate2): The date on which the final, revised draft is sent or made available to the Board for review. This must be at least 30 days prior to the next SWGMDI Board Meeting.
Final Board Review Date (FBRDate): The date on which the SWGMDI Board is to discuss and approve or postpone publication of a final PRC draft document.
The various PRC documents are assigned a PRC# such as PRC1, PRC2 etc., to facilitate communication and tracking of document progress. Although it is anticipated that PRC documents will be published in numerical order, exceptions may occur if a given PRC project is completed early or is delayed because of some problem.
Also, establishing long term target dates is difficult because of the uncertainty in setting SWGMDI Board meeting dates.
